Tips for participants following a virtual event: 

To participate in a virtual event you don’t have to purchase new software, all you need is your laptop, tablet device or smartphone, and the browser you normally use on them.

Here are a few easy tips to make sure the best quality of your virtual event experience:

Internet connection
Functioning and sufficient internet connection is the key to everything in a virtual event.

Make sure your internet connection is sufficient and the audio is coming through.

Check your firewall settings and disconnect your VPN. If you’re not sure how to do this, contact your company’s IT support.

Make sure the maximum capacity of your internet connection for your streaming by closing all connection consuming apps from all the devices using the data connection. These are such as Microsoft Teams, Slack, email and other messaging apps that download new content frequently.

Video size and quality
We recommend using the quality setting 1080p. You can check your settings by the menu on your video screen. If the stream is slow, you can reset as long as you find the proper quality.

To make sure the best possible quality of the video, follow the stream by using the full screen mode especially when using your smartphone or tablet. You can choose this setting by clicking the full screen view on your video screen menu. 

Audio
The best way to participate in virtual events is by using a proper headset. If you need to talk/ give a speech in the event too, use a headset with a microphone.

If for some reason the audio does not come through, check the audio settings from you stream platform (Youtube, Vimeo, etc.), by the small speaker icon on your video platform. Check also the audio settings on your device to make sure the audio is on a sufficient volume and the on mute mode is not on. Make sure also you have the right audio output setting on.

Browser
To make the best possible stream event experience, use the latest and updated version of your browser (Chrome, Firefox, Edge, Safari or Opera).

To make sure nothing is interrupting your stream experience, we recommend to close other windows and browsers while following the event. To make sure any apps or notifications from interrupting your streaming while participating by smartphone or tablet, set your device to a ”do not disturb” mode.

Tips for speakers: 

The content of your speech is naturally the most important part of the event, but we have a few tips to make your event even better!

As for all the participants to a virtual event, you should make sure your tech is up to date. Check out the general technical tips in the section above called Tips for following a virtual event.

Location
The location you choose for giving your speech in a virtual event has an effect how the video will look. Therefore the location should be calm, uninterrupted, and the lighting should be even and sufficient. For example bright and direct sunlight behind or in front of you can cause a ”burning point” on your face or on your background into the video stream. If your background is too light and bright, your face might appear too dark in the video.

We recommend choosing a neutral background and indirect but sufficient lighting source, especially for your face. We recommend you to test the quality of the lighting on your location beforehand by using a test video e.g. creating a new Google Meet with someone.

Internet connection
Functioning and sufficient internet connection is the key to make your virtual event a great experience, especially when you are the speaker in the event.

Make sure the maximum capacity of your internet connection for your streaming by closing all stream consuming apps from all the devices using the internet connection. These include e.g. Microsoft Teams, Slack, email and other messaging apps that download new content frequently.

Make sure your connection is sufficient and functioning beforehand, so you can choose another location on time if needed. You can check the proper connection by using this tool.

The minimum sufficient data connection for the speaker is 10mb download / 10mb upload.

Also make sure your firewall and VPN settings are set right. If not sure how to do this, contact the IT support of your company.

Audio
The most important thing in your speech is that your message comes through clearly. We recommend you to test your microphone before the event with our technicians, especially if you have an older Windows laptop. We recommend using a headset with a microphone to get the audio as clear as possible.

Your speech/ performance
When planning to speak in a virtual event, remember the audience is participating with a variety of devices, also via smart phones and tablets. Take into consideration that very small or information heavy slides/ graphics might be difficult to view. Make sure your graphic material is clear and visually simple. Preferably make several visually clear slides, instead of one that is visually very packed and detailed.
